West Hagbourne Village Association

 

Minutes of meeting held on 8th July 2015.

 

Present: Val Walton (Chair), June Little (Vice chair),

Keith Walton (Treasurer), Margaret Leishman (Secretary), Bridget Pickup, Eva Pinkava, Pierre Aller,Malcolm Brownsword, Hazel Rack, Robert Griffiths, Betty Kendrick.

 

Apologies: Ian Leishman, Marion Judd.

 

Val opened the meeting by welcoming all those present and thanking Betty for hosting the meeting.

 

Minutes of previous meeting: were approved by all present.

 

Matter arising: Marquees- Keith reported that there are 4 bookings for the small marquee and 1 for the large, over the summer. The small marquee is now stored at York Farm alongside the tables and chairs for ease of access. After some discussion the committee decided that the large marquee should also be stored there after its next booking (30th August). It will then be possible to take stock and carry out necessary repairs. Equipment will be stored at the committee’s own risk. The boxes in which the marquees are stored are not up to the job. Keith has identified some possible replacement boxes at a cost of £45.00 each, but will consult with Ian before he purchases them.

Margaret will draft a letter at the end of August to thank Chris Lay for the use of his workshop which has been used to store the marquees in up to date.

Dragons & afternoon teas- all agreed that this year’s competition and the village teas afternoon, which was held on 2nd May, were very successful. Val thanked everyone involved for their hard work and contribution towards its success. 30 dragons were displayed around the village with an estimated 60 people attending the teas. Special thanks were given to Mike Parker, who has been given a bottle of wine for installing the dragon in the pond, to Malcolm for his entertaining film presentation of the dragons, and to Margaret & Ian for the use of Chapel Hayes. Results of the competitions are as follows:

                         Dragons- 1st prize – Broomsticks, Main Street

                                            2nd prize – 1, Manor Close

 

Highly commended – 4, Manor Close &Cornerways, York Road

Children’s prize – Horse & Harrow

All the children who entered the fancy dress competition were given a prize and the winner of the People’s Favourite Dragon was Lenton.

It was noted that there might have been a higher attendance for the teas if the event had not been held on the May Bank Holiday weekend. More consideration needs to be given on dates and timings for next year.

A small profit of £12.00 was made.

Madge Trophy garden competition– judging for the trophy took place on 2nd July. Many thanks to Bridget and Hazel who accompanied this year’s judge, Anne Berry, around the village. Results are as follows:

Trophy winner - 10, Manor Close

The trophy needs to be engraved before it is presented to the winner.

 

Treasurer’s Report – Keith presented an up-to-date spread sheet showing this year’s income and expenditure. The balance of the Association’s account now stands at £987-75.

 

Future eventsLate Summer Garden Party.

After some discussion it was decided to hold this on Sunday 13th September. The event, which is to be entitled “Pimms, Pate & Puddings”, will be held in the grounds of Chapel Hayes, using the small marquee, and will run from 12.30pm onwards. It will be a ticketed event at a cost of £10 for adults, £4.00 for children, with a family ticket (2 adults, 2 children) available for £25.00.

During the afternoon there will be activities for children, e.g. skittles/ badminton (to be decided), and a raffle.

Arrangements so far, are as follows:

                               Advert for August village newsletter- Margaret/Marion.

                               Flyers – Keith –to be distributed w/c 17th August by:

Robert – Main St (beyond the Square) to Foxglove Lane.

June – York Rd.

Bridget – Manor Close.

Margaret – Main St from the Square to the pub.

 

                               Tickets – Malcolm – to be sold at Chapel Hayes, Main St

andLenton, York Rd. from 17th August.

Catering:       

Plates, bowls, plastic glasses, cutlery, etc. – Betty/Val.

Tablecloths & flowers – Betty/Bridget.

Baguettes – Pierre/Stephanie.

 

There will be a meeting on Friday, 21st August at 10.30am at June’s house, (Lenton, York Road) for all those involved with catering arrangements.

 

A.O.B. – none to discuss.

 

Date of next meeting – this will be the Association’s A.G.M. to held on Monday, 16th November at 7.30pm at the Horse & Harrow (date, time & venue to be confirmed).
