West Hagbourne Village Association

 

Minutes of Meeting held on 20th February 2017.

 

Present: Val Walton, Ian Leishman, June little, Margaret Leishman,

Bridget Pickup, Rob Griffiths, Hazel Rack, Betty Kendrick, Pierre Aller,

Eva Pinkava, Emma Rickard and Rob Rickard.

Val welcomed everyone present and thanked Betty for her hospitality.

 

Apologies for absence: None.

 

Minutes of previous meeting:  dated 17/10/16 were read and approved.

 

Matter arising:

Marquees – Rob G. reported that there is a booking for a village wedding in April, but said that the equipment needs checking over before that date. Rob R and Ian volunteered to help Rob G. Date to be arranged.

Madge Trophy – Hazel reported that a £15.00 voucher had been sent to last year’s judge, Angela Phillips, who in turn has thanked the Association for her gift.

Village Walk – the village walk, which took place on Sunday 8thJanuary, was well attended. 15 walkers enjoyed a leisurely 3 miles along local paths and tracks in 1½hours.

Emailing list – arranged with the parish council is working well. It will be used for event notices and reminders.

Noticeboard – as discussed at the AGM, the suggestion of erecting a 3rd village noticeboard in Foxglove Lane would be useful for villagers living down that end of the village. Margaret will email Mike Butler before the next Parish Council meeting to enquire whether it is feasible.  

 

Treasurer’s report - June reported that the Association’s account balance remains unchanged at £1,102.31. It has been noted that an accounts audit has not been done for some time; therefore June will arrange one to be done a.s.a.p. and then again before the next AGM in November i.e. transactions up to 31st October 2017.

 

Future events:

St George’s Day, dragon competition & spring village walk – it was decided to combine the next village walk with the St George’s Day celebration on Sunday 23rd April. The walk (which will be shorter than the January one) will begin at 2pm from The Square and finish at Chapel Hayes for tea and refreshments, when the results of the dragon competition will be announced. The teas will run from  2:30pm and finish at 4:30pm. Dragons are to be displayed for 2 weeks

 

 

commencing Sunday 9th April, and will be judged on Friday 21st April. Margaret will prepare a notice of forthcoming events, which will be advertised in the April edition of the village newsletter. However, as this would leave very little time for residents to prepare their dragons, she will design a flyer to be circulated to all households during the week commencing 13th March.

Distributors will be: Rob & Emma – Main St., Moor Lane and Foxglove Lane.

                                        June – York Rd.

Betty – Manor Close.

Margaret will also arrange an email reminder via the parish council clerk.

Val is going to ask her friend, Jane Taboda if she will be this year’s judge.

It was also decided to form a sub-committee to organise this event – members are:

Ian, Margaret, Rob, Emma and Pierre, who will meet at Chapel Hayes at 7:30pm on Monday 20th March to finalise arrangements.

The small marquee, tables and chairs will be transported to Chapel Hayes on Saturday 22nd April. Time to be arranged.

Madge Trophy – is planned for September this year. Judging day is yet to be arranged and will be advertised in the June village newsletter. We will also need to find a judge.

Macmillan Coffee Morning–the Association is going to host this charity event on Saturday 30th September. Val will ask Mary Ellen if we can hold it at York Farm. Details to be discussed at next meeting.

 

AOB:

Review of Association’s constitution- there are a few details that are out-of-date on the current constitution. It was decided to review it at the next AGM.

Update of Association’s details on village website- Margaret will arrange to update committee details, etc. with John Baile in due course.

Malcolm Brownsword – following Malcolm’s resignation from the Association, the committee decided to send a card and £25.00 garden voucher to him as a “Thank you,” for all his contributions in the past. June and Val will organise these.

Sub-committees for events- to avoid any misunderstandings, Margaret requested that sub-committees are formed to oversee Association events. All agreed this was a good idea.

Village Hall chairs – the village hall committee have offered us some of their surplus chairs following the purchase of some new ones. The Committee decided that it was unlikely that we would need any more in the future, and as our equipment is stored free of charge at the farm, it would be an imposition to store more there. Margaret will let Valerie Brownsword know of the Committee’s decision.
